Community Tech Stewardship

This statement protects both your organisation and the clinic, and keeps the free sessions focused and ethical.

1.0

Purpose of the clinic

1.1 Yarra Tech Clinic is a free, pro bono programme run by Vish Devarajan as a personal volunteer. It is not a business or a registered charity, and is not connected to any employer. It offers small charities, community trusts and not-for-profit organisations in Aotearoa New Zealand up to four one-hour sessions of general technology guidance, plus a 30-day email and a 90-day check-in.

1.2 The primary objective is building internal technical confidence, operational resilience, and digital autonomy within community teams, enabling organisations to direct maximum funding towards their frontline kaupapa.

Supported

Guidance under this section is delivered through structured advisory sessions, documentation review, and strategic sounding boards:

Clause 2.1

Architectural advice regarding software selection, not-for-profit grant licensing (e.g. Microsoft 365 / Google Workspace grants), and cloud migrations.

Clause 2.2

Assessment of everyday cyber hygiene, multi-factor access control, password security, and volunteer data safety practices.

Clause 2.3

Ethical review of artificial intelligence tools, digital workflows, and automated governance to protect client privacy and community trust.

Clause 2.4

Formulation of plain-language, board-ready technology roadmaps, vendor RFPs, and standard operating digital policy templates.

Out of scope

Excluded

To safeguard organisational security and avoid administrative entanglement, the Clinic categorically excludes hands-on technical execution:

3.1 Physical Hardware & Local Infrastructure

Hardware maintenance, physical device repairs, networking cable installations, printer troubleshooting, or on-site workstation repair.

3.2 Engineering & Custom Programming

Custom software engineering, frontend website development, bespoke database development, continuous bug fixing, or custom scripting pipelines.

3.3 Master Credential & Account Custody

Hands-on systems administration, hosting infrastructure management, DNS domain registration custody, or holding root administrative master passwords.

3.4 Formal Legal & Financial Certifications

Statutory legal counsel, certified public accounting, official Privacy Act audits, or formal regulatory compliance certifications.

4.0

Independence and no commercial interest

Zero Commission Pledge

4.1 The Clinic accepts zero commercial commissions, referral kickbacks, affiliate payouts, or sponsorship revenue from any software vendor, cloud platform, or commercial MSP service provider.

4.2 All advice is strictly impartial and formulated solely for the recipient organisation's best interests, financial stewardship, and long-term community mission.

5.0

Mutual commitments and confidentiality

5.1 Confidentiality: All discussions, internal operational challenges, donor record workflows, and governance documentation reviewed during advisory sessions are held in strict personal confidence. I may report anonymous, combined results (for example, “12 organisations took part”), but I won’t name your organisation or quote you without your written permission, which you can withdraw at any time.

5.2 Reciprocal Stewardship: Participating organisations agree to attend sessions on time. I also invite — but never require — the spirit of "Each one teach one" — sharing acquired knowledge, operational templates, and security awareness with peer community organisations across Aotearoa.

I give my time and expertise pro bono; in return, I ask for honest participation, transparent constraints, and genuine follow-through.

6.0

Limitation of liability

6.1 Advisory Nature: Guidance provided through Yarra Tech Clinic is strategic and educational in nature. Final decisions on implementation, vendor contract executions, platform migrations, expenditure, and third-party tools remain strictly under the governance and authority of the organisation's management committee, executive director, or board of trustees.

Guidance is general, based on what you tell me, and is not an audit, certification or guarantee of security or compliance. To the extent permitted by law, the Clinic is not liable for vendor outages, data loss, third-party pricing changes or implementation errors. I will never access your systems or hold passwords; you share your screen and stay in control. Either of us can end the programme at any time, without cost. I’ll tell you, and may decline or end the programme, if a conflict arises with my employment or other commitments. Your application details and session notes are deleted 12 months after your 90-day check-in, or sooner if you ask (see the privacy notice).
